This policy explains how G1 Sealant looks after the personal information you share with us when you get in touch about our work, ask for a quote, or become a customer. We only collect what we need to do the job well, and we keep it safe.
Who we are
G1 Sealant (G1 Sealant Ltd, registered in Scotland, company number SC867546) is the data controller for the information described here. Our customer system is built and hosted on our behalf by SYNF (BHIK Studios Ltd), who act as our data processor and only handle your data on our instructions.
The information we collect
- Your name, phone number, email address and the address where the work is needed.
- The details of your enquiry, including any notes, measurements or photos you send us.
- Messages you send us and our replies, whether by our website form, email, WhatsApp, phone or social media.
- Quotes, appointments, invoices and payment records connected to your job.
Contacting us on WhatsApp
If you message our WhatsApp Business number, we use WhatsApp (provided by Meta Platforms Ireland Ltd) to receive and reply to your messages. Your message content and phone number come into our customer system as an enquiry so we can help you. WhatsApp itself handles your messages under its own terms and privacy policy. You can stop messaging us on WhatsApp at any time and reach us another way instead.
How we use your information
- To answer your enquiry and prepare a quote.
- To book and carry out the work, and to keep you updated about your appointment.
- To send invoices, take payment and keep proper financial records.
- To ask for feedback or a review once a job is complete.
Our lawful bases for this are taking steps to enter into and perform our contract with you, and our legitimate interest in running and improving our business. Where the law requires it, we rely on your consent, which you can withdraw at any time.
Who we share it with
We do not sell your information. We share it only with trusted service providers who help us run the business, and only as far as they need it:
- Meta Platforms, for WhatsApp, Facebook and Instagram messaging.
- Amazon Web Services, for sending and receiving email.
- GoCardless, for handling deposit and balance payments by bank.
- Postcodes.io and Open-Meteo, to look up locations and weather for scheduling.
- Google, when we send a review request after a completed job.
We may also share information where we are legally required to, for example with HMRC or our accountants.
How long we keep it
We keep enquiry and customer information for as long as we are providing you a service and for a reasonable period afterwards. Financial records are kept for six years to meet tax and accounting rules. Enquiries that do not turn into work are removed once they are no longer needed. After that we delete or anonymise your details.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, to object to or restrict how we use it, and to ask us to hand it over in a portable format. Changes to this policy
If we change how we handle your information, we will update this page and the date at the top.
